Staff essentials
Hand this to a new crew member on day one.
Signing in and getting started
Sign in screen
- 1.Open Jamaica Ops on your phone. In Safari, tap Share then Add to Home Screen so it opens like a normal app.
- 2.Enter your work email. You can sign in with your password, with Google, or ask for a one-time sign-in link by email.
- 3.Leave "keep me signed in" on so you are not typing your password before every shift.
- 4.The first time you land, the welcome walkthrough shows you each screen. You can close it and reopen it any time from the guide.
Next: You land on Home if you are staff, the Command Center if you are a manager, or the Owner view if you are an owner or admin. Your name and job title show at the bottom of the sidebar or under the page title.
Seeing today's shift and your week
Home and Schedule
- 1.Home shows your next shifts right at the top — date, time, and where you are posted.
- 2.Tap Schedule for the full week. Use the arrows beside the date range to move to another week.
- 3.Stay on the Mine tab for your own shifts.
- 4.The Unfilled tab shows shifts nobody is covering yet. If you can work one, you can claim it there.
Next: Claiming an unfilled shift sends it to a manager. If it clashes with the availability you set, the app warns you first and asks you to confirm before it goes through.
Clocking in and out, and checking your punches
Time clock
- 1.Open More, then Time clock. Tap the big button to clock in when you start.
- 2.While you are on, the card shows how long you have been clocked in.
- 3.Tap the button again at the end to clock out.
- 4.This week lists every punch with the date and hours so you can check your own timesheet.
Next: Your punch is saved immediately. With no signal it is held on your phone and sent up when you are back on a network — the Syncing pill shows that. A correction request goes to a manager to review and adjust; it does not change your hours by itself.
Reading and sending department messages
Messages
- 1.Tap Messages at the bottom.
- 2.Pick your channel across the top — Maintenance, Jamaica Joe's, Security, Office and so on. You only see the channels you belong to.
- 3.Read the thread and type your message at the bottom to post to that channel.
- 4.Broadcasts are resort-wide announcements from management. They sit in their own section so they do not get buried.
Next: Your message goes to everyone in that channel. Keep guest names and anything sensitive out of channels — put that in an incident report instead.
Reporting a guest incident
Ops, Incidents tab
- 1.Tap Ops, stay on Incidents, then add a new incident.
- 2.Give it a short clear title — what happened, not an opinion.
- 3.Pick the category (guest service, injury, property damage, noise, pool, security, weather and so on) and the severity.
- 4.Add the location on property and the department that should handle it.
Next: The incident gets a reference number and lands as Open for managers and the department you picked. A manager assigns it, the status moves to In progress, and it is marked Resolved when it is closed out. It stays on the record either way.
Emergency broadcasts and Urgent help
Urgent help button, and Messages
- 1.The red Urgent help button is on every screen — bottom corner on your phone, in the sidebar on a computer.
- 2.Tap it, pick the kind of emergency, and send.
- 3.Do not use it to test. It reaches management immediately.
- 4.Emergency broadcasts from management appear in Messages under Broadcasts.
Next: An urgent alert goes straight to management and is logged with your name, the time and the category. Acknowledging a broadcast records that you saw it. Call 911 first for anything life-threatening — the app does not replace emergency services.
Supervisor essentials
For managers and leads running a shift.
Manager: building and editing the schedule
Schedule and Team availability
- 1.Open Schedule and move to the week you are building.
- 2.Check Team availability first so you are not assigning someone on a day they cannot work.
- 3.On a computer, drag a qualified employee onto a shift. On iPhone, tap the employee first, then tap the shift.
- 4.Hard conflicts stay blocked in quick assignment. Use the shift's Reassign control only when you intentionally need to review and override an availability conflict.
Next: Assigned staff see the shift on their Home and Schedule right away. Every override is written to the audit log with your name so there is a record of why someone was scheduled against their availability.
Manager: approvals waiting on you
Command Center and Owner view
- 1.Open the Command Center. Approvals waiting sits near the top.
- 2.Work through time-off requests, shift swap claims and timesheet corrections.
- 3.Approve or decline each one.
Next: Approving a swap moves the shift to the new person and updates both schedules. Approving time off blocks that person out for those dates. Either way the employee sees the result in their own requests list.
Manager: assigning and closing incidents and work orders
Ops and Command Center
- 1.Open Ops and read the new incidents at the top of the list.
- 2.Assign each one to the right person or department. The status moves to In progress.
- 3.Follow up with the assignee, and add notes as the situation develops.
- 4.When it is handled, mark it Resolved and write the closeout note — what was done and by whom.
Next: The assignee gets it in their notifications and under Your tasks. Resolved items drop off the open counts on the Command Center and Owner view but stay in the record with the full history.
Manager: reviewing staff and the time clock
Owner view, Command Center, Team Directory
- 1.Open the Owner view to see who is clocked in right now and for how long.
- 2.A shift running abnormally long is flagged "Check clock-out" — that usually means someone forgot to punch out.
- 3.Fix it with the employee, or handle their timesheet correction request from approvals.
- 4.Use Team Directory to check someone's department, role and status.
Next: Anything you change is reflected on the dashboards straight away. Timesheet corrections are recorded as an adjustment rather than silently overwriting the original punch.
What the statuses mean
- Open:
- Logged but nobody has picked it up yet. Used for incidents and work orders.
- Unfilled:
- A shift on the schedule with nobody assigned to it. You can claim one if you are able to work it.
- In progress:
- Someone has been assigned and is working on it.
- Urgent:
- Highest priority. It needs attention before anything else on the list.
- Pending approval:
- Waiting on a manager. Nothing has changed yet — your original shift or timesheet still stands.
- Assigned:
- It has your name on it. It shows under Your tasks on Home.
- Resolved:
- Handled and closed out, with a note explaining what was done. It stays in the record.
- Acknowledged:
- You confirmed you read a broadcast, so management knows the message reached you.
- Offline:
- Your phone has no network. The app still opens and you can still clock in and out.
- Syncing:
- Things you did offline are being sent up now. Stay on a network until it clears.
- Handoff:
- The written shift-to-shift note in Ops, so the next crew knows what happened on yours.
- Broadcast:
- A resort-wide announcement from management, kept separate from department channels.
